Your day.

Reporting directly to the Chief Human Resources Officer, the Executive Assistant will perform advanced project work as well as day-to-day administrative duties relative to operations for assigned executive(s).

Primary responsibilities of this position will include:

Serve as the primary point of contact for internal constituencies, and the liaison between Executive and identified boards, committees, and the senior management team.

Research, prioritize, and follow up on incoming issues and concerns addressed to the assigned Executive; and determine appropriate course of action, referral, or response.

Perform day-to-day administrative duties relative to operations for assigned Senior Team Members, and work closely and effectively with the assigned Executive to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.

Act as a “barometer,” having a sense for the issues taking place in the environment and keeping the Executive updated.

Attend meetings and prepare meeting minutes as required.

Draft acknowledgement letters, personal correspondence, and other tasks that facilitate the Executive’s ability to effectively lead the function/organization.

Prioritize conflicting needs and handle matters expeditiously and proactively, and manage an extremely active calendar of appointments.

Arrange and coordinate meetings, conferences and appointments, as well as travel plans, itineraries, and agendas. Compile documents for meetings and presentation materials.

Coordinate logistics for meetings/conferences by arranging meeting accommodations and preparing correspondence regarding upcoming meetings and conferences.

Perform advanced project work, following through on projects to successful completion.

Assist with special events including negotiating contracted services and assisting with third party agreements for special events.

Manage matters of a routine nature and troubleshoot issues involving administrative office policy, practices, procedures and guidelines to conserve Executive’s time.

Make decisions within authorized scope or direct the decision to proper authority.

Review budget and investigate variances, and complete expense reports.

High School Diploma or equivalent, required.

Bachelor’s degree in Business Administration or related field, preferred.

Minimum of five (5) years of secretarial or administrative experience supporting sr. management level, required.

At least one (1) year of experience in a healthcare organization, preferred.

This is a partial remote position. Selected candidate will work from home periodically, and then in the office in Broomfield, CO. when needed.
