job description : Assistant to the CEO Job Purpose: Reporting directly to the CEO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as a point of contact for internal and external constituencies on matters pertaining to the Office of the CEO. The Executive Assistant also organizes and coordinates executive outreach and external relations efforts and oversees special projects.

Primary Responsibilities:
• Coordinates and completes a broad variety of tasks for the CEO, which may include but are not limited to: calendar management, compiling documents for meetings, composing and preparing correspondence that is sometimes confidential, and arranging complex and detailed plans, itineraries, and agendas
• Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature, and determines appropriate course of actions, referral, or response
• Provides a bridge for smooth communication between the CEO’s office and external business opportunities
• Works closely and effectively with the CEO to keep him well informed of business opportunities
• Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the CEO
• Successfully completes critical aspects of deliverables with a hands-on approach, including drafting letters, personal correspondence, and other tasks that facilitate the CEO’s ability to effectively produce business opportunities
• Prioritizes conflicting needs, handles matters expeditiously and proactively, and follows through on projects to successful completion, often with deadline pressures
• May be asked to assist in other departments and projects; must be a team player and pitch in whenever needed or requested
• Schedule meetings
• Make hotel reservations (for guests)
• Add Linkedln connections to Scotts account as needed
• Coordinate owner/partner gifts
• Personal tasks
• Coordinate logistics for meetings; order/pick up food if necessary
• Add birthdays to calendar
• Coordinate documents for Scott’s signature
• ACE Activities Coordination
• Other duties as assigned
Skills, Qualifications, Knowledge Requirements:
• Strong organizational skills that reflect an ability to perfonn and prioritize multiple tasks seamlessly and with excellent attention to detail
• Excellent interpersonal skills with the ability to build relationships with stakeholders, including staff, external partners and investors
• Demonstrated proactive approaches to problem-solving with strong decision making capability
• Highly resourceful team-player with the ability to also be independently effective
• Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
• Innovative thinker, who actively seeks opportunities to improve performance and proposes solutions
• Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of client service and response
Experience/Education:
• 5-10 years of experience supporting C-Level Executives
• Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, PC and Apple Operating Systems, and social media web platforms, with the ability to quickly adapt to changing technology environments
• Experience in sourcing business opportunities
